Scheduling Forms and Managing Visibility

Visibility States

Each form has a Visibility setting that controls how it appears to members.

On The form is published and accessible to all members who meet the Access Type requirement.

Off The form is not accessible to anyone. Use this to temporarily disable a form without deleting it.

Hidden The form does not appear on the public forms page, but members who have the direct link can still access and submit it. Useful for forms shared privately with specific groups.

Scheduling with Start and End Dates

Set the Start Date and End Date in the Advanced section when creating or editing a form.

  • If the Start Date is in the future, the form shows as Scheduled in the admin list and is not yet visible to members.
  • Once the start date arrives, the form automatically becomes Active (if Visibility is set to On).
  • If an End Date is set and passes, the form shows as Expired and members can no longer submit it.
  • If no end date is set, the form stays active indefinitely as long as Visibility is On.

Tip: Use the End Date for time-sensitive forms such as event registrations, nomination submissions, or surveys with a deadline.
