Privacy Policy
At HOA Total Access, we value the trust of our customers. To earn your trust, we respect your privacy in handling personally-identifiable information relating to you and your transactions with us. This Privacy Statement describes the personally identifiable information we gather about you, what we do with it, the safeguards we have in place to protect it, and how you can control our use of it.
Updated: September 13, 2026
We collect personally identifiable information that you voluntarily provide to us when you register for a trial, register for services, give us a telephone call or send us a letter or e-mail. This personally identifiable information may include your name, mailing address, e-mail address, telephone number, and other optional demographic information.
You may browse our web site without supplying any personally identifiable information, but we will need to collect personally identifiable information to process your request for services or to send you offers or information that you request.
Additionally, through our automated analytics, diagnostics, and session recording software that may be deployed on the Site and individual client community portals, we may automatically collect technical data regarding your device, browser, IP address, and electronic interactions (such as mouse movements, scrolling behavior, clicks, and page navigation patterns) exclusively for technical troubleshooting, platform security, and user experience enhancement purposes. All input fields are programmatically masked.
In order to use our web site, your computer must accept the use of cookies, which are small data files that are stored on your computer's hard drive. Cookies do not contain personally-identifying information and do not give us control over your computer. The information that we store in cookies is used to track your activity at our web site and to access your individualized settings (such as your trial membership) to make your visit more convenient and to make it unnecessary for you to re-enter this information when you make return visits to our site.
We may also utilize session replay, heatmap, and behavioral tracking technologies (such as third-party analytics scripts) to capture user sessions across the Site and individual HOA client subdomains. When utilized, these tools record user interactions strictly for troubleshooting, platform performance monitoring, and enhancement purposes. Sensitive fields such as passwords, payment details, and private member account numbers are programmatically masked to prevent collection of sensitive personal information.
The personally identifiable information that you voluntarily provide to us will be used to process your request for services, and may be used to identify you within our systems. We may use your email address to contact you if we have questions about your subscription. We may also use your email address to notify you about new services or special promotional programs, or send you offers or information.
Data gathered via session recording and analytics tools, when active, may be used exclusively for internal troubleshooting, security auditing, platform enhancement, and administrative support across HOA Total Access and participating client community websites.
We will not disclose personally-identifiable information about you to others except as disclosed in this Privacy Statement or as specifically authorized by you at the time the information is collected.
We contract with third parties to provide specific products or services to you. For example, we use a third-party payment processor via secure embedded forms to verify, bill, and collect payments when you subscribe for services with a credit card; payment card information is collected and processed directly through secure embedded forms and is never stored on our servers. We also use outside service providers to operate our web site and to send e-mails to customers and prospective customers. We may also engage third-party analytics and session replay providers to support site infrastructure, diagnostics, and troubleshooting. These service providers are provided with only the information that they need to perform their functions and are not permitted to use or disclose your personally-identifiable information for other purposes without your authorization.
We may use third-party advertising technology to serve ads when you visit our site. This technology uses information about your visits to the HOA Total Access site, (not including your name, address, or other personal information), to serve our ads to you. In the course of serving our advertisements to you, a unique third-party cookie may be placed or recognized on your browser. In addition, we may use web beacons, provided by our ad serving partner, to help manage our online advertising. These web beacons enable our ad server to recognize a browser's cookie when a browser visits this site and to learn which banner ads bring users to our site. This information we collect and share through this technology is not personally identifiable.
We may share personally identifiable information with law enforcement or other entities as required by law or as we reasonably determine to be necessary to protect our rights or the rights of others, to prevent harm to persons or property, to fight fraud, or to enforce our web site terms of use. Personally identifiable information may be transferred as an asset in connection with a merger or sale (including any transfers made as part of an insolvency or bankruptcy proceeding) involving all or part of our businesses.
You may decline to receive promotional e-mail from us. Every promotional e-mail we send contains instructions and an Internet link to opt out of future e-mail promotions. You may also opt out of promotional e-mails by sending an e-mail request to optout@hoatotalaccess.com.
To opt out of web analytics tracking and potential session recording, you can adjust your browser settings to reject cookies, configure "Do Not Track" signals, or block third-party analytics scripts via browser extensions.
We reserve the right to change our data practices from time to time. The current Privacy Statement will always be posted online at /privacy. If we revise our Privacy Statement, you may decline to permit us to use your personally identifiable information under the new policy by notifying us as described above.
It is important that our databases are accurate and up-to-date. To access and make appropriate changes or deletions to information relating to your use of our web site, sign in to your account and click the appropriate link.
We have implemented numerous safeguards to reasonably and adequately protect personally-identifiable information.
Our databases are protected by physical, technical, and procedural measures that restrict information access to authorized persons in accordance with this Privacy Statement. Our information systems are maintained behind a software firewall to isolate them from access by other networks connected to the Internet. Only employees who need the information to perform a specific job are granted access to personally identifiable information.
We contract with third-party payment providers to process credit card information securely via embedded, hosted payment forms. When payment or other personally-identifiable information is collected through our web site, the transmission is encrypted using industry-standard Secure Socket Layer ("SSL") technology, and sensitive payment data is handled directly by our secure third-party gateway without being stored on our servers.
You also play a valuable part in security. Your password to access our web site should never be shared with anyone and should be changed frequently. After you have finished using our site, you should log out and exit your browser to prevent unauthorized users from returning to your online account.
