Creating and Managing Email Templates

This article explains how to create a new email template, edit an existing one, and delete templates you no longer need.

Creating a New Template

  1. Navigate to Administer Site > Modules > Messaging.
  2. Click the Templates List tab.
  3. Click the New Template button (top of the page).
  4. Enter a Template Name — something descriptive, like "Standard Message" or "Holiday Layout".
  5. In the Template Content editor, build your layout using the rich text editor. You can include images, colors, your community logo, and text.
  6. Include the placeholder [%message%] somewhere in your template — this is where the message's message body will be inserted when an email is sent. Place it on its own line for best results.
  7. Leave the Visible setting on Yes if you want this template available when composing messages.
  8. Click Save.

Warning: Every template must contain [%message%]. Without it, your message content will not appear in the email at all.

Editing an Existing Template

  1. Navigate to Administer Site > Modules > Messaging > Templates List.
  2. Click the action menu (3 dots) next to the template you want to edit.
  3. Click Edit.
  4. Make your changes and click Save.

Note: Changes to a template take effect immediately for scheduled messages that have not yet sent, and will also change how previously sent messages appear in Preview and on the bulletin board. The emails already delivered to member inboxes are not affected.

Previewing a Template

  1. In the Templates List, click the action menu next to a template.
  2. Click Preview to see a rendered preview in a pop-up window.

Hiding a Template

If you want to keep a template for reference but not have it appear when composing messages, you can hide it rather than deleting it.

  1. Open the template for editing.
  2. Change the Visible setting to No.
  3. Click Save.

The template will remain in the Templates List but will no longer appear in the template dropdown when composing messages.

Deleting a Template

  1. In the Templates List, click the action menu next to the template.
  2. Click Delete.
  3. Confirm the deletion in the dialog that appears.

Warning: Deleting a template is permanent. Emails already delivered to member inboxes are not affected, but any sent messages that used the template will lose their styling in Preview and on the bulletin board. Drafts that reference the deleted template will also lose their template selection.
