Approving or declining pending reservations

There are two main ways to access the list of pending reservations: via the site dashboard's Pending Items section or by filtering the main Facility List.

Method 1: Using the Pending / Open Items Section (Quick Access)

This is the fastest way to see all unaddressed requests across all facilities.

  1. Log in to the site using your Admin Account.

  2. Click on "Administer Site" in the main menu.

  3. Scroll down the page to the section titled "Pending / Open Items".

  4. If there are any requests awaiting your review, a link will be displayed:

    • "Facility reservations pending review (X)" (where 'X' is the number of pending reservations).

  5. Click this link to be taken directly to the consolidated list of all pending reservations.

  6. Proceed to Step 3: Review and Act below.



Method 2: Filtering the Facility List (Per-Facility View)

This method is useful if you only want to review pending requests for a specific facility.

  1. Log in to the site using your Admin Account.

  2. Click on "Administer Site" > Modules > Facilities.

  3. Click the "Events List" tab.

  4. In the filter options (often found above the main list or table), locate the Reservation Status filter.

  5. Change the filter option from "All" to "Pending" to display only reservations awaiting review.

  6. Proceed to Step 3: Review and Act below.



Step 3: Review and Act on the Reservation

Once you have navigated to the list of pending reservations (using either Method 1 or Method 2), you can take action:

  1. Review Details: Examine the key information for the reservation:

    • Resident name

    • Facility requested

    • Date and time

  2. Take Action: In the "Name" column, click the link for the reservation that you'd like to approve or deny.

  3. To Approve: change the "Status" from "Pending" to "Approved". The system will finalize the booking, update the calendar, and automatically send a Confirmation Email to the resident (unless you disable the email option).

  4. To Decline: change the "Status" from "Pending" to "Denied". An email is sent to the resident (unless you disable the email option).
